This policy explains how the HOV Studios website and services handle personal information, project applications and creative material.
1. Who operates HOV Studios
This website and the HOV Studios service are operated by Ronald Jeffery Derby, ABN 62 863 813 949, in Western Australia. HOV Studios is the brand used for the website and service. Privacy enquiries may be sent to houseofvalestudios@gmail.com.
2. Information collected
We may collect information you provide through the website, email, a project application or an invitation-only Discovery Brief, including:
- your name, email address, location or time zone;
- your creative experience, goals, deadlines and intended use;
- lyrics, concepts, references, drafts, project files and other creative material you choose to submit;
- your responses about rights, permissions and project standards; and
- technical or security information needed to operate forms, prevent misuse and diagnose errors.
Do not submit identity documents, payment-card details, passwords, health information or other sensitive personal information unless HOV Studios specifically requests it through an appropriate channel.
3. Why information is used
Information is used to assess project fit, prepare and email a requested Song Direction Snapshot, communicate with you, prepare possible scope and terms, deliver an agreed service, maintain project and consent records, secure the website and forms, resolve disputes, comply with law and improve the service. HOV Studios does not sell personal information or submitted creative material.
Marketing emails about HOV Studios music, creative resources, services or offers are sent only where you separately choose to receive them. Marketing consent is optional and may be withdrawn at any time by replying to an email or contacting HOV Studios.
4. Creative material and AI tools
Submitting creative material does not transfer your ownership to HOV Studios. Application material is reviewed to assess your enquiry. Material will not be intentionally used to train a public AI model or placed into a generative service merely for speculative testing. If a project proceeds and third-party AI or production tools are proposed, their use, risks and any necessary permissions should be addressed in the project scope or client agreement before production begins.
5. Storage and service providers
Information may be processed or stored using service providers that support the website and workflow, including the protected HOV Studios website database, Google services used for project applications, Gmail or Drive, and other communication, security or production services used for an agreed project. Some providers may process data outside Australia. Their handling is governed by their own terms and privacy practices as well as HOV Studios’ instructions and account controls.
No internet transmission or storage system is completely secure. HOV Studios uses reasonable administrative and technical safeguards, limits access to project information and will respond appropriately if a material data incident is identified.
6. Disclosure
Information may be disclosed to service providers where reasonably necessary to operate the website or deliver an agreed service; to professional advisers under appropriate duties; where you authorise disclosure; or where required or permitted by law. HOV Studios does not publish submitted work or identify you as a client without permission.
7. Retention
Unsuccessful or inactive applications and briefs may be retained for up to 24 months for follow-up, recordkeeping and dispute prevention, then deleted or de-identified when no longer reasonably required. Records connected to an accepted project, transaction, legal obligation or dispute may be kept longer. You may request earlier deletion, subject to legal, security and legitimate recordkeeping requirements.
8. Cookies, analytics and external links
The website may use essential technical storage required for security and functionality. If analytics are introduced, this policy will be updated to identify the relevant service and choices. Links to external platforms such as Spotify, YouTube and TikTok are governed by those platforms’ privacy practices.
9. Access, correction and complaints
You may ask what personal information HOV Studios holds about you, request correction or deletion, withdraw optional consent, or make a privacy complaint by emailing houseofvalestudios@gmail.com. Identity may need to be verified before information is released or changed. A response will be provided within a reasonable time.
